eReports has a detailed disaster recovery and business continuity plan to outline our processes assuring you of our business continuity. We review this plan daily, incorporating changes to systems, processes, staff, experts, environmental and community and health advice factors.
The Business Continuity Plan responds to the COVID-19 pandemic set out below.
Working from Home
Many of our staff have commenced the transition to remote working arrangements across all our offices, in line with the push to slow the spread of the Coronavirus by actively supporting social distancing. This is an important step in safeguarding the health and wellbeing of our people, experts that consult with us, our clients and the individuals they support.
eReports is experienced and advanced in the area of working remotely. We remain fully operational and you can reach us online, by phone and email as you normally would.
A comprehensive list of secure applications allows our staff tiered access to key tasks including all administrative functions, real-time client information including secure access to documentation, emails and document management systems. Protocols and secure technology are in place to ensure the confidentiality of all information we hold.
Receiving documentation
We advise clients that ALL DOCUMENTATION must now be uploaded securely on our website. We expect the next stage of government announcements will see a complete lockdown across the country and that soon, staff will not be in the offices to process mail. Staff will be processing documentation electronically in a remote and secure environment. Please prepare your organisation for this change to ensure a smooth transition for the next stage of measures to restrict the escalation of the Coronavirus.
Workplace Health & Safety
We have distributed information to all staff regarding personal hygiene including best practice in COVID –19 infection control, the symptoms and epidemiology of Coronavirus. We have infection control materials readily available to all staff and we promote all teams to keep up to date and to comply with all Australian Government advice. We have a mandated HR notification of a period of 14 days self-isolation in circumstances where an individual is diagnosed as having Coronavirus or been in contact with someone who has tested positive or returned from overseas. Return to work can only occur upon medical clearance.
Travel
eReports are guided by the Australian Government advice for travel. Staff interstate travel and conference activity here in Australia and overseas are currently cancelled until further notice. We will continue to monitor daily this ongoing situation in the coming days, weeks and months.
Events
All conference, educational and social client events in all locations have been cancelled until we receive advice from the Australian Government that it is safe to do so. We will continue with webinars and regular communication with clients, consultants and our teams. eReports have the capacity to deliver educational webinars and other online learning as required.
Data Security
The area of concern for any company with a mobile workforce is the security of clients’ data. eReports has a full procedure for staff members transitioning to home from the work environment, and installation of the eReports technology and on dedicated computers.
All eReports IT infrastructure and systems are entirely cloud-based and housed within Australia on secure Microsoft Azure servers with full disaster-proof redundancy. eReports Azure tenancy employs multi-layered protection measures including Advanced Threat Protection, Palo Alto Firewalls and threat prevention and analysis tools such as WildFire to eliminate threats such as Zero-Day exploits and Malware. Real-time updates to perimeter security systems afford eReports best in class security that can tackle the latest threats in the world today.
eReports platform employs end to end encryption to keep your data safe in transit using TLS 1.2 AES 256-bit encryption over HTTPS or SFTP protocol and at rest utilising BitLocker AES 256 bit encryption. Information Security standards are applied to ensure the appropriate management, classification and handling of all data received and held within the eReports platform. Data loss prevention tools are employed to identify, monitor and protect sensitive information eReports users can only gain access to our systems via approved and onboarded devices managed through Azure Active Directory ensuring layered security, multi-factor authentication, secure single sign-on to all eReports systems.
